  • How does Virtual Administration work?
    Rose's Administrative Service is a small business with a remote business model. We operate virtually, so you can work from an office, from home or on the road. Forward your phones to our main line, where it shows up on our end with your business name. "Thank you for calling 'My Psychiatric Practice,' this is Rose, how many I help you today?" In the event you are sick or have an emergency, we will handle the reschedules and preparations We follow up on No Shows and cancelations to check in on patients and get them rescheduled for a later date. We log into your portals and accounts to manage scheduling, messaging, referrals, Prior Authorizations, weekly PDMPs, faxes etc. We print, secure and ship mailings as needed, such as discharge notifications, return payments or when a client cannot access electronic Intake packet. To keep costs low, we only charge you for individual mailings and these are not included as part of your weekly rate. We try to ship USPS unless there is a time crunch, then our preferred method is FedEx. We communicate with anyone else you are currently contracted with to keep operations running smoothly - if you have your own biller like Sondermind or a small, local biller, we communicate with them to keep your clients up to date on their benefits and payments. And we think the little things matter! We will do all sorts of little things, such as print labels for your mailings, including personalized return labels; we will answer your phone lines specific to your practice, and we will know your patients’ names when you tell them to us. Most importantly, we will know you and your practice inside and out, so we can advise intakes to your preferences and we can respond to requests the same as you would. We are exemplary communicators and can prove it!
  • What billing services do you offer?
    We can help manage patient expectations (ie, verify their insurance ahead of their first appointment and advise them of their copays etc). We can also run aging reports to keep outstanding balances low, manage credit cards on file and private pay situations. However, we do not provide any insurance billing services. We do have billers we work closely with and would be happy to help get you referred to them. Please reach out!
  • What is your pricing like?
    Our pricing is affordable - we know that a new startup and a small practice are not rolling in cash. We offer flat weekly rates based off of your caseload.   • I have been doing things my way for years...
    Since we are not a staffing service, we have a flexible team willing to work with you and your ways. In most instances, we can operate how you're most comfortable and there is no need for you to change programs or systems. Occassionaly, we can offer options to streamline what you are already doing. And for new startups, we are always happy to offer our input and experiences while you are reviewing your options. Your business is unique and so is ours.
  • How do you ensure HIPAA compliance?
    HIPAA is a huge deal. You know this and we know this. Most of our operations are conducted through your secure portals and there is often no need for us to ever leave the safety of those sources. Anything that must be printed is shredded, our emails are secure and our staff are all trained for HIPAA compliance. If you have specific concerns we would love to hear them and find a solution to suit your specific privacy requirements if they are above HIPAA guidelines.

    Rose's Administrative Services Holiday Schedule is as follows: New Years' Eve Martin Luther King Jr Day Presidents' Day Memorial Day Juneteenth Independence Day Labor Day Indigenous People’s Day (Columbus Day) Veteran’s Day Thanksgiving & Black Friday Christmas Eva & Christmas Day Learn to LOVE your holidays, your birthdays, your vacations! Rose's Admin encourages all Practitioners to follow the above holiday schedule *at the very least* Practitioner burnout is very real and practitioners need to be sure that they are taking care of themselves, too. Go be with friends and family for holidays, birthdays, anniversaries and graduations. Do not hesitate to step away from the practice for some well deserved R&R. Rose's can help you inform patients and make office arrangements for the extra time away. Patients are very comfortable with their providers being gone when they know they are leaving, what to expect and who to contact. Please, all practitioners, take care of yourselves.
